Procedures for Applications
1. Applications to organise a workshop during 2012 must be received by the 14th of February 2011, late applications cannot be accepted. Applications will be reviewed by the IISL’s Meetings Committee in March 2011. The organisers will be informed of the Committee’s decision by the 1st April 2011.
2. Workshops can be held from April 2012 to July 2012. They are normally held on Thursday and Friday, with the participants arriving on Wednesday afternoon or evening. Workshops could, by arrangement, begin earlier and last longer, but in such a case the organisers would have to cover the additional costs. Applications should indicate the preferred dates, but these are subject to negotiation with and final decision by the Institute.
3. Applications must include the following:
(ii) names and full contact details of the organisers, with their professional status, affiliations, etc.; if there is more than one, the primary person for liaison with the Institute should be identified;
(iii) a statement of the topic and themes of the workshop (up to 1500 words);
(iv) a list of the provisional participants, with their professional status and affiliations; they should have been contacted in advanced and have agreed to participate, in principle; if the application is successful, a final list together with full contact details will be needed;
(v) a provisional programme for the workshop, including working titles of presentations or papers; the timetable for sessions should bear in mind that restaurants in Oñati serve a midday meal only from 13.00 and the evening meal after 20.30; coffee breaks would need to be at least 15 minutes if you wish to allow time for participants to go to the nearest café; a common timetable is: 09.15-11.00; 11.15-13.00 and 14.45-1615; 16.30-18.00.
4. The substantive and intellectual organization of the workshop will be the responsibility of the workshop´s proposers; the IISL will provide organisational support. The IISL is unable to provide any form of insurance, so participants are responsible for their own travel and health insurance, arrangements or costs.
5. Papers and presentations for the workshop can be made available, for access by participants, on the IISL intranet. Following the workshop, the Institute offers the possibility for publication of approved papers in the
Oñati Online Workshop Papers series. Other possibilities for publication are also available: please refer to the

Cristina Ruiz for further details. As a condition of organising the workshop, the Institute asks for appropriate acknowledgement in any subsequent publication of a paper or group of papers that they were first given at an Oñati workshop.
6. If accepted, the proposer of the workshop will be asked to confirm acceptance. The title and dates of the workshop will then be publicised on the IISL website and other publicity material. The organiser will then be contacted again, normally 4-5 months prior to the date of the workshop, to supply the list of participants with full contact details, and a revised programme. The IISL will then send a letter of invitation to participants, with a pre-registration and final registration form. The organiser should send the final programme to the IISL 6 weeks before the workshop date. Final registration forms must be received from participants one month before that date. All participants will be sent by the IISL the final programme and a list of participants, and this information will be posted on the IISL website.
7. The Institute provides accommodation in the Residencia de Antia for 20 persons occupying separate rooms, more if they share them as a double room (two single beds). Additional participants, up to a maximum of 30, can be lodged in a nearby hotel. No meals are provided in the Residencia, but residents have use of a shared kitchen. Organisers can make their own arrangements to provide breakfast (tea/coffee, croissants etc), or residents may go to a nearby café. The seminar room in the Antigua Universidad can comfortably seat 30-35 people. The Aula Magna lecture room is also available if required. Space for informal discussions and meetings of smaller groups is available in the Residencia, which is 7-8 minutes walk from the Universidad. The two main meals which can be provided at the cost of the Institute can most conveniently be provided in restaurants in Oñati at midday (after 13.00), but arrangements for an evening meal instead can be made if preferred. The Institute will also provide and pay for one pintxos (tapas). Organisers who have access to their own supplementary funds can request different meal arrangements (the price difference to be paid to the Institute), e.g. for a meal in a higher-class restaurant (transportation, if needed, would also have to be paid for).
8. Participants must make and pay for their own international travel arrangements. The Institute will take care of collective transport from the nearest international airport (Bilbao) or train station (Zumárraga), for those participants who notify their arrival details as required on the registration form, and similar arrangements for their return. The Institute has a small fund (6,000€) to contribute to international travel costs for a few participants from poorer countries and who have no other means of funding. Applications for such support should be made, normally by the person concerned, by 1st September 2011. They should include (i) information on country of residence, professional status, background and position of the applicant; (ii) brief details of the paper or other contribution; (iii) estimated travel costs at the lowest fare, and (iv) a statement of the other resources or sources of funds available to the applicant for such travel, including an indication of the last occasion(s) when the applicant has travelled abroad. Applicants who receive a travel contribution from the IISL must supply appropriate invoices and original travel tickets to obtain a refund.
PLEASE NOTE: All subsidies, other than transportation from airport/train station, "may be" cancelled where a workshop has less than 15 scholars participating in person.
